Experience Specialist

In a nutshell

We are seeking an Experience Specialist to join our Tokyo studio. As an Experience Specialist, your role at IDEO Tokyo will be to make both the clients and employees’ experience delightful. You will work directly with the Studio leadership to plan and execute a variety of studio events and community projects that help us nurture and bring our culture to life. 

This is a tremendous opportunity for an individual with a collaborative working style and strong communication skills, who thrives on creating order out of chaos, and loves to create fun, memorable events that make people happy.

Note: this is not a remote role. We will be adopting a hybrid working model from 2022, and physical presence in our Tokyo Studio will be required multiple days a week. 

 

Why is this role important for IDEO’s work? 

IDEO Tokyo’s mission is to help enable change in Japan through design and creativity. 

We believe that for our designers to do their best work, we must provide an environment that promotes creativity - a place where people feel safe, inspired, and excited to collaborate and experiment. 

Experience Specialists create impact by designing and delivering compelling studio events and rituals. Community events (e.g. weekly studio lunches, offsites, and more!) create space for our people to come together and build connections. Rituals like “IDEOversaries” celebrate individuals and foster belonging. 

 

Once here you will

  • Design and organize recurring studio events and rituals (e.g. studio lunches, weekly happy hours, parties and offsites)
  • Mobilize our community to create new, memorable studio experiences 
  • Oversee the upkeep of the studio to maintain an environment conducive for creative work
  • Serve as a concierge for our clients, guest and visitors so they have a productive and enjoyable stay at IDEO Toko
  • Manage the office’s day-to-day operations (e.g. calendaring, hospitality, general logistics, communication with building management) 
  • Cultivate external relationships to nurture and grow IDEO Tokyo’s creative network in and outside of Japan.

 

Relevant experience and mindset

  • Japanese and strong English verbal and written skills
  • At least 5 years of working experience, primarily with businesses located in Japan
  • Experience in hospitality, event planning, community management or a ‘concierge’ type of role in a design studio, startup, creative consultancy or corporate environment
  • Hands on and loves to experiment with different approaches and ways of doing things
  • The ability and desire to work with a variety of needs and personalities
  • A true customer-service attitude and exemplary time management and organization skills
  • Excellent discretion, demonstrating sound judgment in dealing with confidential dialogues and information
  • Knowledge of Mac platform, be well versed in Google Docs, Gmail and very comfortable using the Internet as a research tool.
